Filing reminders for businesses

W-2s

If your business paid wages, you must prepare a W-2 for each wage earner and submit it with a Form W-3 to the Social Security Administration by February 28th. The W-2 should be sent to each recipient by January 31st. Like 1099s, the W-2s must be machine-readable and legibly entered on the red-ink forms.

Small employers can make their own W-2s free online and file them directly to the Social Security Administration. You register an account and make the W-2 online; copies can be printed for employees, the state, and your own records.

If you have 10 or fewer W-2s, the Minnesota copy of each can simply be mailed to:

More than 10 W-2s require e-filing to Minnesota. We cannot provide this service, so we recommend a filer who can serve you with both federal and state filing (search: "e-file W-2 service"):
